PEOPLE AND VEHICLE RATES
You can define cost and billing rates. Rates can be set for individual people, vehicles, activities or contracts.
PERMISSION TO ADJUST RATE IN RECORDS
People can be un/allowed to manually adjust rates in their records.
MASS RATES RE-CALCULATION
Even older records can be re-calculated at a new rate.
CONTRACTS AND SUB-CONTRACTS
Every contract can be divided into more parts, for example, into 'projects'. It is your decision on to how you name your sub-contracts. The contracts can then be evaluated with more precise parameters.
A contract can have a cost budget and time budget. It is possible to track how much time and money is left before you exhaust your budget. It helps you to stay within your budget.
Every person‘s working time can be set individually. A person can see how much time they have to work or how much overtime they have done.
The application takes into account public holidays (which you have defined) while calculating with working time.
ENTERING 'FROM - TO' OR 'NUMBER OF HOURS'
A person can record their activity by entering the precise time or by entering the number of hours for a particular day. While setting the activity it is possible to pre-set what will be entered. For example, work is usually entered by an exact time, while on the other hand a vacation is recorded by number of hours/days.
RECORDS FROM ATTENDANCE FOR TIME TRACKING
Time tracking will offer a time in which the person was present in work according to their attendance. It is possible to select this hint and to create a new record directly from it and complete it by entering details such as activity or contract. This feature is available in mobile phone and in PC.
It is possible to create a custom field (column, parameter) in time tracking according to your needs. The custom field can be text, number, yes/no decision, or a selection from list.
It is possible to record which activity a person is doing.
Activities can be predefined by specific names. It is also possible to set if it is a working activity,
paid non-working time (absence), or not paid free time (break).
Activities can be the same for every user but they can also be set individually so each user will have their own
set of activities to select from.
You can define the activities that count as work.
BREAKS AND ABSENCES
In activities you can set the breaks and absences.
While breaks are not counted as working time, absences are.
There are two ways to record breaks. You can either classically start a break and later start work
again or you can also choose a time interval in advance so employees will have a pre-defined time for break (e.g. 30 min for lunch).
Every person's working hours can be set individually and every day in a week can be set differently. The application compares a person's set working time with the time actually worked.
OVERVIEW FOR SALARY CALCULATION
In the application you can find a print report 'overview for salary calculation'.
It provides information about worked time, breaks, work during holidays and weekends,
work during night, overtime and missed working time.
Records marked as billable are also shown in module Invoicing.
SETTINGS FOR RECORDED INFORMATION
You can set which information is required to be entered by people and which is not.
FILLING FROM TEMPLATE
User defined templates can be created in mobile and PC applications so users will be able to easily fill their records with pre-set information.
Such a template can also be created as shared, so each user in the account can use it.
FILLING FROM MOST OFTEN OR LAST RECORDS
While recording via mobile or PC application, it is possible to use quick input
that offers you records you have created in the past.
When the offered record is selected a new record is filled with the same information.
FILLING FROM PLAN
In mobile and PC applications plan fulfillment can be confirmed, and the Time tracking record can be filled with information from the Plan.
In cases when there are slight differences between Plan and completed work, it is possible to further edit such a record.
START AGAIN (IDENTICALLY FILLED RECORD)
Every Time tracking record offers to be 'started again'.
When this feature is used an identically filled record is started with 'activity starting time'
corresponding to the time when the feature was used.
People can enter records to more days at once. They can select more days and enter the same records to them.
People can select a record and select days to which it should be duplicated.
Duplication is possible with or without time. Records can also be duplicated between people.
PRIVILEGES AND ACCESS PERMISSION
The application allows wide and variable settings for which data is available to be viewed or recorded by whom.
People can be placed into groups. It allows you to grant various privileges to the whole group, instead of granting them individually, one by one.
Furthermore, groups can be used in record filters, so records of the whole group can be overviewed at once.
This feature defines how many days back people can edit or add new records. It is possible to allow exceptions for people to back-date. Back-dating restriction prevents the late recording of work.
CLOSING A TIME PERIOD
The feature prevents the adding of new records, editing or deleting already entered records in a period which has been closed. If necessary, it is possible to re-open a closed period.
Supervisors can approve or disapprove the work records of their subordinates.
When a record is declined the supervisor can add the reason for disapproval to the record and allow the subordinate to amend the record.
Records with ended validity are not shown in lists and are not available to be selected. This feature prevents the user from seeing a mass of old data which has to be kept and not deleted. Records can be validated again.
CURRENT PEOPLE PRESENCE
You can monitor people's comings and their last entry in attendance from your phone, PC application or from anywhere via the internet.
The application records people's location every time they press any button for quick start of activity.
(Whether it is a record of coming, leaving, movement between locations, or the beginning of different type of activity).
The application allows you to add names for the most frequented working localities (e.g. company Head Office, local branches, depot...).
Locations that you do not name are recorded as standard addresses.
For more information about the recording of people's location see 'people localization'.
PEOPLE SHOWN ON MAP
It is possible on the web application to show the last recorded location of people or even more locations where people were present during the day.
For more information about recording people's location see 'people localization'.
LOCALITY RECORDING EVEN OFFLINE - VIA GPS
When the application is about to record person's location (see people localization)
it works even when they are currently without internet connection.
The location is recorded as GPS coordinates and as soon as the internet is available again the coordinates are transferred and shown as an address.
USE OF MOVEMENT RECORDS FOR VEHICLE LOGBOOK
Movement can be recorded in module Time tracking.
According to visited localities (see monitored locations) the application calculates the distance
between locations and offers you this generated record for saving in Vehicle logbook.
FIXED ATTENDANCE TERMINAL
A suitable device for permanent work places. It serves for quick and verified attendance recording of any number of people. It can work in an exclusive mode.
MANUAL ATTENDANCE RECORD
If necessary, it is possible to additionally create a record about attendance manually without verification of a person's location. In order to distinguish these records from verified, these are marked as 'manual records'.
The possibility to create manual records can also be entirely disabled.
APPLICATION PROGRAMMING INTERFACE (API)
Logeto can be connected with other external systems through API in order to transfer recorded information to each other.
